Transaction Management provides a way to link EUDR compliance data with the product level information required to evidence compliance with the Regulation and to submit a Due Diligence Statement (DDS) to the EU Information System (EU TRACES).
Transaction Management is a premium feature in TradeAware. To use this functionality, your account must be enabled for transactions. If you do not have this enabled, contact your Customer Success Manager.
Your business will also need to have an identifier added to the account details to submit a transaction to TRACES. This must be an EORI for import and export transactions but can be VAT for domestic (internal EU transactions). You can update this in your Manage Account page.
Your business will need to be connected to a business with plots of the relevant commodity to submit a Transaction to TRACES.
You will be able to see the data with your associated account on TRACES. By default the system is connected to the ACCEPTANCE testing system of TRACES and can be connected to the PRODUCTION environment when you are ready to submit legally valid due dilligence statements.
By selecting the Transaction Management icon , you will navigate to the Transaction Management page.
From here you can see a table of your transactions:
Internal Reference - Your internal reference id for the transaction.
Activity - The type of activity for the transaction - either import, export or domestic.
Product(s) - The HS code(s) and mass of the product(s) in the transaction.
Status - The status of the transactions Which can be one of the following:
DRAFT: The transaction is in draft mode, still being prepared and not yet submitted for processing.
QUEUED: The transaction is in the process of being sent to the EU Information System.
SUBMITTED: The transaction has been submitted to the EU Information System.
Submission Date - The date the Transaction was submitted to TRACES where relevant.
You can start by adding an internal reference number. This is a unique identifier for the Transaction that can correspond to your internal identifier for the transaction, such as a Purchase Order number or Batch ID number.
Next you have to select the type of activity the Transaction represents and a country for the activity:
Import - Import event from a country outside the EU. Select the EU country of entry.
Export - Export event from the EU to a country outside the EU. Select the EU country of exit.
Domestic - Within the EU. Select the EU country of activity.
You can add the commodity or product by selecting the box next to the product or commodity in the list. You can select multiple of these to add at the same time.
By selecting "save" you will see a component added to the Transaction. By default the product description will be the one from the same as the HS code heading description, but this can be updated to correspond to the product being made available on the market.
You can also add the net mass of the product.
There is a drop down for supplier which allows you to add a supplier to your product. This adds the relevant information of the supplier, including plots to the transactions when it is submitted to TRACES.
Note: If the supplier does not have relevant commodities associated with them, you will not be able to submit the transaction to TRACES.
You can select "save & close" which will close your transaction as a draft.
When you are ready to submit the transaction to TRACES, select the submit button.
The system will combine your business information, the transactions data and the plot data associated with suppliers to create your due diligence statement in TRACES.
The status of the transaction will change to "Queued" while it is pending with the TRACES system. It will update to "Submitted" when it has been accepted by the TRACES system.
You can also see the Transaction on TRACES with the information associated with the Transaction, including with the relevant plots attached.
You will be able to change the fields in the view mode but cannot save as a draft or resubmit the transaction.
You can search transactions by id, activity type, commodity or status using the search bar. You can also filter the table by selecting the filter at the top of the page for Activity, Products and Status, including using multiple of these filter types simultaneously. This will filter the view to your relevant Transactions. You can also sort your transactions using the arrow next to the column header.
Selecting the plus icon in the top right of the Transaction table will take you into the "Create Transaction" view. The information requested on this page corresponds with the data required to submit a due diligence statement to TRACES.
Next by selecting "add product or commodity" you will see the full list of HS codes in scope for the EUDR. You can search this using the search bar at the top of the page and expand the options by pressing the icon.
For a transaction you have created but not submitted to TRACES, you will be able to edit this until you submit. To do this, select the three dots next to the transaction in the list and select edit. This will reopen edit mode. You can also delete the transaction by selecting delete.
By selecting the three dots next to a queued or submitted transaction, you will see the option to "view" the transaction.
