# Manage your transactions

## What is Transaction Management in TradeAware?

Every EUDR role (Importer, Exporter, Processor, Trader) can create and submit a Due-Diligence Statement (DDS) directly from the TradeAware web app or API.

Transaction Management provides a way to create and manage the product-level information required to generate and submit a Due Diligence Statement (DDS) to the EU Information System (EU TRACES), reflecting your compliance actions in line with the Regulation.

### :warning: Prerequisites

Transaction Management is a premium feature in TradeAware. To use this functionality, your account must be enabled for transactions. If you do not have this enabled, contact your Customer Success Manager.

Your business will also need to have an identifier added to the account details to submit a transaction to TRACES. This must be an EORI for import and export transactions but can be VAT for domestic (internal EU transactions). You can update this in your [Manage Account](https://docs.live-eo.com/tradeaware/readme/getting-started) page.

Your business will need to be connected to a business with plots of the relevant commodity to submit a Transaction to TRACES.

You will be able to see the data with your associated account on TRACES. By default the system is connected to the ACCEPTANCE testing system of TRACES and can be connected to the PRODUCTION environment when you are ready to submit legally valid due diligence statements.

> **Multi-entity support (centralized the different legal entities - multiple EORI/VAT)**\
> Businesses that operate through several registered **legal entities** can now register them in **Settings → Business information → Legal Entities**, then select the filing entity per transaction. The selected entity’s EORI/VAT appears on the DDS and is now visible in the Transactions table.

> \&#xNAN;*\* If you do not select a legal entity for a submission, TradeAware will use the **initial Business Information** on your account for that transaction.*

## Transaction Management tailored to Activity Type

Based on the activity type of Due Diligence Statement you are creating, TradeAware will show you only the fields required for that specific activity.

⚠️ Note: Each transaction requires a basic set of product details (unit, quantity, HS code, description). The table below highlights the **main differences** between activity types.

## The Transaction Management Page

By selecting the Transaction Management icon <img src="https://1342046618-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbenSEfMyYbRWLaKU6iTs%2Fuploads%2Fgit-blob-456273c94b835a0cf26fe40b30b4e63d2c5315b4%2FScreenshot%202025-02-11%20at%2016.31.41.png?alt=media" alt="" data-size="line">, you will navigate to the Transaction Management page.

From here you can see a table of your transactions:

* **Reference / Verification** - The official DDS reference number followed by the verification code (shown once TRACES marks the statement *Available*).
* **Legal entity** - the registered legal entity used for this transaction (EORI/VAT on file).
* **Internal Reference -** Your internal reference id for the transaction.
* **Activity -** The type of activity for the transaction - either Import, Export, Domestic, or Trade.
* **Product(s) -** The HS code(s) and mass of the product(s) in the transaction.
* **Status -** The status of the transactions Which can be one of the following:
  * **Draft**: The transaction is in draft mode, still being prepared and not yet submitted for processing.
  * **Queued:** The transaction is in the process of being sent to the EU Information System.
  * **Submitted**: The transaction has been submitted to the EU Information System.
  * **Available:** The transaction has been accepted by the EU Information System.
  * **Error:** The transaction has been rejected by the EU Information System.
* **Submission Date -** The date the Transaction was submitted to TRACES where relevant.

You can search transactions by id, activity type, commodity or status using the search bar. This will filter the view to your relevant Transactions. ## Quick-Start per Role

### Creating a Transaction

Selecting the plus icon <img src="https://1342046618-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbenSEfMyYbRWLaKU6iTs%2Fuploads%2Fgit-blob-b4b93c1a435824f6989a2548099bb912c8bedbb6%2FScreenshot%202025-02-11%20at%2017.31.11.png?alt=media" alt="" data-size="line"> in the top right of the Transaction table will take you into the "Create Transaction" view. The information requested on this page corresponds with the data required to submit a due diligence statement to TRACES.

**Select legal entity** - At the top of the creation form, choose the Legal entity that will file the DDS. The panel shows its VAT and EORI so you can verify you picked the right entity.

* You can change the selection while the transaction is Draft.
* After submission, the filing entity is fixed for that DDS.
* If you skip this step, the system will apply the *initial Business Information* on your account at submission.

### Activity Types and Corresponding Roles in TradeAware

### A · Import - Upstream Operator/Importer

**Import** – Goods are brought into the EU from a third country. This activity is typically used when placing goods on the EU market for the first time, requiring geolocation data, supplier information, and full product details to generate a Due Diligence Statement (DDS).

Next by selecting "add product or commodity" you will see the full list of HS codes in scope for the EUDR. You can add the commodity or product by selecting the box next to the product or commodity in the list. You can select multiple of these to add at the same time.

By selecting "save" you will see a component added to the Transaction. By default the product description will be the one from the same as the HS code heading description, but this can be updated to correspond to the product being made available on the market.

You can also add the net mass of the product.

There is a drop down for supplier which allows you to add a supplier to your product.

#### Selecting plots for a product

When adding the supplier to the product or commodity to your transaction, you can assign the specific geolocation plots that apply to the product by selecting the **Manage plots** button. This opens a modeal with a list of plots associated with the selected supplier.

You can filter this list by status (e.g., *EUDR compliant*), country, and plot size, or search by name. This helps you narrow down the plots that are relevant to your shipment or batch, and reduce the risk of oversharing or including irrelevant data.

💡 Selecting only the relevant plots gives you tighter control over what data is shared and helps ensure your transaction payload stays within technical limits—minimizing submission errors and supporting better traceability at the batch level.

This adds the anonymized relevant information of the supplier, including plots to the transactions when it is submitted to TRACES.

You can select "save & close" which will close your transaction as a draft, or **Submit** to create the DDS.

### B · Export - Downstream Operator/ Exporter

**Export** – Goods are shipped out from the EU to a third country. This activity has to be when exporting goods that were already placed on the EU market (e.g., through an import or domestic DDS).

#### Steps:

Add an **upstream DDS reference** using the *Add reference statement* button. Both Reference Number and Verification Number are required.

Select **Export From EU to third country** in the Activity section.

Add your **export product details**, including HS code, quantity, and any other necessary data.

You can select "save & close" which will close your transaction as a draft, or **Submit** to create the Export DDS.

💡 **Why is the Supplier field disabled?**\
When you provide upstream DDS references (Reference + Verification numbers), TradeAware uses these to connect your export transaction to the existing statements. Since the product has already been subject to a Due Diligence Statement, no additional supplier data is required — avoiding duplication and errors.

### C · Domestic - Downstream Processor/ EU Producer

**Domestic** – Goods already in the EU are processed in such a way that they change HS code or this is the first placement of an EU-produced product on the market.

**Steps:**

* **Add one or more upstream DDS references** using the **Add reference statement** button (Reference Number + Verification Number required).
* **Select Domestic Processed in EU (HS code transformation)** in the Activity section.
* **Add your new product details**, including the transformed HS code, quantity, and product description.
* **Save & close** to draft, or **Submit** to create the Domestic DDS.

💡 *Note:* Supplier information is not required because the product has already been covered by a previous Due Diligence Statement.

### D · Trade - Downstream Trader

**Trade** – Goods already placed on the EU market (through an import or domestic DDS) are resold without transformation.

**Steps:**

* **Add an upstream DDS reference** using the **Add reference statement** button (Reference Number + Verification Number required).
* **Select Trade Resale within EU, no change** in the Activity section.
* **(Optional)** Add a product row if needed for your internal ERP tracking (this does not affect TRACES submission).
* **Save & close** to draft, or **Submit** to file the Forwarding DDS.

💡 *Note:* The supplier dropdown is hidden in Trade transactions since supplier details are already captured via the upstream DDS.

### **Create a New Transaction using This as Reference**

After clicking **Create reference** in the Transactions table, you are brought into the pre-filled transaction creation form.

In this view:

* The **Reference no.** and **Verification no.** from your upstream DDS are automatically populated.
* You can select the appropriate **Activity** (Export, Domestic, or Trade depending on your scenario).
* You can add any additional product or commodity details relevant to your reference DDS.
* Supplier selection is disabled because the upstream DDS already provides the traceability data.

👉 This streamlined flow ensures your new reference DDS links properly to existing records in TRACES, minimizing duplication and error risk.

## Editing or Deleting a Draft

For a transaction you have created but not submitted to TRACES, you will be able to edit this until you submit. To do this, select the three dots <img src="https://1342046618-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FbenSEfMyYbRWLaKU6iTs%2Fuploads%2Fgit-blob-34e07ebe1ff2c55f229001726262357e985dfbdf%2FScreenshot%202025-02-24%20at%2022.20.10.png?alt=media" alt="" data-size="line"> next to the transaction in the list and select edit. This will reopen edit mode. You can also delete the transaction by selecting delete.

## Submitting a Transaction to TRACES

When you are ready to submit the transaction to TRACES, select the submit button.

The system will combine your business information like Submitted Legal Entity, the transactions data from the Referenced Statement or the plot data associated with suppliers to create your due diligence statement in TRACES.

The status of the transaction will change to "Queued" while it is pending with the TRACES system. It will update to "Submitted" when it has been accepted by the TRACES system and "Available" when the TRACES system has provided back a reference and verification number.

You can also see the Transaction on TRACES with the information associated with the Transaction, including with the relevant plots attached.

## View a Submitted or Available Transaction

You will be able to change the fields in the view mode but cannot save as a draft or resubmit the transaction.
